Atss is looking for an Executive Secretary for Program Management for a client in Pascagoula, MS.  
GENERAL FUNCTIONS: Initiates and performs varied secretarial and administrative duties which are auxiliary to the work of the supervisor.  May supervise clerical staff and/or provide specialized technical assistance in addition to administrative services.   Performs under the general direction of the Program Manager.

 Receives requests for information which can be assembled from records based upon knowledge of company; or subject matter may be specialized and available in limited places, requiring research and obtaining information orally from a variety of sources.  Advises when the material can be furnished; prepares it personally or follows up to see that clerical staff prepares it.

 Prepares and/or signs routine correspondence of non-technical nature in supervisor’s name or own name.
 Maintains confidential records relating to strategy/policy/ and programs assigned.
 Maintain records for Program Discrepancy Reports, Purchase Orders and Invoicing including Government submittals of CDRL’s.
 Arranges meetings, travel agendas, special events.
 Ability to track and take notes during meetings, whether virtual, phone or in person and validate and collate all notes after the gatherings and distribute to Program Manager and members of the Project team.
 Ability to collect from various sources throughout the Shipyard all vessel specific certifications for material, equipment, and regulatory.
 Evaluates and requisitions supplies and equipment for office use and or projects as directed.
 Performs secretarial duties for supervisor and other staff as assigned.

DESIRED KNOWLEDGE, SKILLS & ABILITIES: Good knowledge of practices and procedures of the department, unit or division served.  Ability to gather, analyze, interpret and apply data to perform special assignments.   Ability to maintain information accurately and confidentially. Ability to operate office equipment accurately and efficiently.  Able to perform effectively as a member of a team; to communicate effectively and maintain good working relationships.

 EXPERIENCE & TRAINING: Two years of college-level course work in office management, business administration or a related field preferred.  Considerable to extensive experience in a secretarial or administrative assistant capacity; or any equivalent combination of education and experience which provides the required knowledge, skills and abilities.
